Design Reviews – A Better Way to Compile and Resolve Feedback

As a project manager, you have a lot to keep track of and, many times, quite a few stakeholders to manage as well. When it comes to engaging those stakeholders and compiling their review feedback, have you ever said, or been told one of the following:

  • “Did you get my feedback on that drawing?”
  • “I sent that to you last week! You need me to send it again?”
  • “I have those redlines somewhere…”
  • “I know we talked about that markup, but I didn’t write it down.”
  • “There was a risk I remember we discussed, but I can’t find it now.”
  • “I’m sure someone else will bring that up. Nobody listens to me anyway.”

We’ve all found ourselves in a situation where we didn’t provide or retain the value-added feedback we were hoping to incorporate into a project. It’s a terrible feeling for several reasons, but losing review feedback doesn’t need to happen if you have a robust tool and process to follow that standardizes how stakeholders engage with each other.

The Mesa PMO Team has developed project tools and processes that have helped customers with complex scopes and diverse stakeholders overcome a variety of failure modes present during project reviews. Multiple benefits can be realized by achieving the following:

  • Standardization of feedback
    • Not just PDFs, emails, phone calls, which can easily be lost/ignored.
  • Centralization of feedback
    • Get all of your reviewers and designers into the same workspace to resolve feedback together.
    • Maximized efficiency to ensure value for the effort.
  • Empowering your Reviewers
    • Ensure actionable feedback is resolved as early as possible during the project lifecycle and get past the 11th-hour rush at IFC.
    • Clearly communicate requirements to provide feedback and drive resolution of the feedback.
  • Tracking of resolution
    • Minimize wasted effort by ensuring resolution of feedback rather than having reviewers “shout into the void.”
    • Compile review feedback in a manner that assists with risk identification and mitigation.
  • Compiling data to further develop information, knowledge, and wisdom through metrics and KPIs.
